QuickBooks File Maintenance: Quick & Easy Steps To Preventing File Corruption

It happens, that data error message. You can’t back up your file, data is missing, the files is crashing.  Data corruption happens in a QuickBooks file when bits and pieces of the datafile set get lost or conflict. This can happen as a result of changing the file back and forth between PC and Mac versions, upgrading from an older version, from large data imports, and from not regularly sorting and condensing existing data within the file. On occasion data corruption issues can be fatal to your file, but more often then not they just result in troublesome issues.  However, data corruption is preventable.

Here are a few quick ways to prevent data corruption.  


  • Don’t convert your file back and forth from PC to Mac editions frequently.
  • Upgrade your QuickBooks file sequentially. Converting from 2012, to 2013, 2014, and then 2015 will result in less data corruption issues that if you convert directly from a 2012 edition directly to 2015.
  • Back-up your file with full data verification regularly.
  • Resort all lists regularly. Using the list resort option when viewing lists will resort your data and transactions associated with it. This resorting of data will prevent most, if not all, kinds of data corruption issues that lead to fatal errors.

With this kind of general maintenance you’ll avoid most forms of data corruption and avoid issues that often lead to a permanently corrupted file.
